Bulk Employee Upload via Excel

Zuri HR makes it easy to onboard multiple employees at once using the bulk import feature. Follow the steps below to successfully add your employees using the Excel upload process:


Step-by-Step Guide to Bulk Upload Employees

  1. Navigate to the Employee Import Section:

    • From the main dashboard, go to the Employee menu.

    • Click on the Import Employees submenu.

  2. Download the Sample Excel Template:

    • Click the Download Template File button.

    • This Excel file contains the required format and columns necessary for a successful import.

  3. Prepare Your Employee Data:

    • Open the downloaded Excel file.

    • Carefully read the embedded instructions or notes for each column (e.g., required fields, date formats, etc.).

    • Fill in the employee details such as:

      • Full Name

      • Staff No.

      • National ID

      • Email Address

      • Phone Number

      • Gender

      • Date of Birth

      • Date of Hire

      • Job Title

      • Department

      • Salary Amount

      • Bank Details (if applicable)

    • Ensure there are no blank required fields marked with  asterisk (*) and that the data is clean and correctly formatted.

  4. Upload the Completed Excel File:

    • Return to the Import Employee page.

    • Click Upload File, then select your completed Excel file.

  5. Configure Onscreen Settings:

    • Before submission, select the following fields as they apply to this upload:

      • Currency (e.g., KES, USD)

      • Salary Type (e.g., Basic Pay, Gross Pay)

      • Region (e.g., Nairobi, Mombasa)

      • Work Shift (e.g., Regular, Night Shift)

    • These selections will apply to all employees in the uploaded file.

  6.  Submit:

    • Click Submit to finalize the import.

  7. Post-Upload Actions:

    • The system will validate the data and notify you of any errors.

    • If errors are found, a response report will be provided with details to correct and re-upload.

    • Successfully imported employees will be available immediately under the Employee List.

 

Best Practices:

  • Always use the latest version of the sample template.

  • Validate date formats and ensure consistency across the file.

  • Save a backup copy of your Excel sheet before uploading.

  • For large organizations, break down uploads into manageable batches (e.g., 100 employees per file).
